1. Before sending

   • The order to be served (auto admisorio or mandamiento de pago), complete and legible.
   • The complaint, its exhibits and the amended filing, if any (art. 8 para. 1).
   • If the complaint and exhibits were already sent at filing, proof of that send: the auto admisorio is then enough (art. 6).
   • The defendant's email address, checked character by character.
   • How the address was obtained: prior communications, commercial registry, RUT, contract or official website (art. 8 para. 2).
   • The evidence of that source, especially communications sent to the person to be notified (art. 8 para. 2).
   • The case is governed by the CGP; administrative litigation follows CPACA art. 199.

2. The message

   • A subject line with the 23-digit radicado and the order being served.
   • Court, radicado, parties and type of proceeding in the body.
   • The order and its date.
   • The exhibits listed by file name and, where possible, their SHA-256 fingerprint.
   • A statement that notice is given under art. 8 of Ley 2213 of 2022 and is deemed complete two business days after sending.
   • The term to answer and the channel for writing to the court.
   • No condition to confirm or click for the notice to count.
   • Article 8 only: no summons or aviso under CGP arts. 291 and 292.

3. After sending

   • The record of the recipient's mail server accepting the message (the acknowledgement).
   • No hard bounce. If there was one, there is no notice: correct the address and send again.
   • The date and time of sending in Colombian legal time.
   • The estimated date notice is complete (send plus two business days) and the date the term starts.
   • The message kept in its original format (.eml).

4. The memorial to the court

   • Sent from the email registered in the Registro Nacional de Abogados (Ley 2213, arts. 3 and 5).
   • The sworn statement on the address and how it was obtained.
   • The evidence of the address.
   • The record of sending and delivery, and the message as .eml (CGP art. 247).
   • The computation of when notice is complete and of the term.
   • A copy to the other parties whose channel is known (art. 3).

5. Retention

   • The complete evidence package stored: nullity may be raised even after judgment (CGP art. 134).
   • The evidence available for the review remedy period, up to five years (CGP art. 356).
